0 Quick Apply Part-time 8 hours ago Full Job Description The Assistant coordinates and works in partnership with the Director of Operations.
The principal responsibility is assisting the Director of Operations.
This may include front desk, museum floor oversight, helping with special projects, and plan and execute educational events/clubs.
Staff employees and supervision:
Along with the Operations Director, oversee weekly work schedules.
Supervise the day-to-day museum operations and staff when on shift.
Train and update all employees on the use of museum equipment, admission and cashiering procedures, and emergency procedures.
At the request of Operations Director, conduct employee evaluations.
At the request of Operations Director, conduct monthly staff meetings.
Assist in all aspects of opening/closing procedures of the Museum, including operating the admission desk, phone, and other office duties.
Maintain a clean and safe environment at all times.
Be available to assist staff with a difficult guest or situation that needs to be resolved as soon as possible.
Keep Museum running smoothly which includes but not limited to the following:
cleanliness, problems with guests acting out or not following rules, walk-throughs, activities.

Scheduling Coordinator:
Oversee scheduling for school field trips, birthday parties, and after hour events including related paperwork and communication with schools/teachers, parents/caregivers to ensure clear understanding among all parties.
Ensure that assigned staff is prepared and amply notified of upcoming field trips, birthday parties and after hour events.
Manage the development of all event materials, which currently include the field trip/birthday party content binder, event calendar and work closely with the staff to evolve these materials through policy/procedure and customer experience.
Office:
Listen to voicemail and open shared museum emails.
Pass messages to appropriate party or answer accordingly.
Oversee cleanliness of admission desk and office spaces Oversee all the process of keeping all Museum forms and handbooks updated.
Assist with daily reconciliation reports and deposits as requested by Operations Director Events:
Communicate with City concerning 3rdfloor events.
Keep all museum event information updated on Google calendar and Slack.
Ensure all after-hours events are adequately staffed.
Assist Event Coordinator with any requests that she deems necessary to ensure events run smoothly.
Requirements - Skills:
Ability to handle multiple tasks simultaneously.
Ability to exercise sound judgement in emergency situations and respond with appropriate action.
CPR certification a plus Commitment to high quality customer service and guest experience.
Exemplary organizational skills and attention to detail Represent the Museum with professionalism and integrity.
Spanish language proficiency (not required, but very helpful) Ability to handle multiple tasks simultaneously.
Requirements - Education and
Experience:
High school degree or equivalent; Bachelor's degree or pursuant of degree or certification in relevant field is preferred.
Experience in office setting and customer service Minimum one year experience working with a team in an office setting.
Experience in a management role Proficient computer skills (Microsoft Office applications) Compensation and work schedule:
Hourly wage will be set at $16/hour with a review period of 3 months The Assistant to Operations Director is expected to work 3 days a week for a total of 15 hours but may work up to 20 hours per week.
Must be able to work weekends (except Sunday) and holidays.
Hours worked will be scheduled in advance All work hours will be logged into ShopKeep General activities will be reviewed weekly with the Operations Director Work Environment This job operates in a busy indoor environment where crowded conditions and moderately noisy sound levels are common.
This role routinely uses standard office equipment such as computers, phones, copiers, as well as cleaning supplies and equipment.
